POSITION DETAILS:
TITLE: Facilities Booking Clerk
DEPARTMENT: Community Services
CURRENT RATE OF PAY: $31.58 per hour plus benefits
HOURS OF WORK: 37.5 hours per week, Shift work as required

GENERAL STATEMENT OF DUTIES:
The incumbent shall be responsible for all aspects of booking recreation facilities and recreation advertising contracts for the City of Williams Lake Community Services Department. The focus will be on the administration of the Cariboo Memorial Recreation Complex (CMRC) – including all recreational and meeting spaces within. This position shall coordinate major user group bookings, build annual facility schedules, coordinate advertising requirements, and maintain usage reports as required. The Facilities Booking Clerk is responsible for booking of parks, amenities, street banners, and other designated recreational public areas within the City of Williams Lake. This position serves as break coverage for the front desk cashiers and fills in for the Recreation Administration Coordinator as needed.
SUPERVISION:
The incumbent shall be responsible to the Community Services Facility Manager.
MAJOR DUTIES AND RESPONSIBILITIES:
Answering all public enquiries by phone, e-mail and in person.
Clerical and administration coordination work as assigned.
Recreation Services Program registration, bookings, and schedules.
Providing break relief for Clerks/Cashiers as required.
Providing coverage for the Recreation Administration Coordinator as required
School District Joint Use Agreement bookings, including monthly reports and statistics.
Print and monitor Xplor Recreation reports on attendance statistics, facility usage, and related information for City of Williams Lake Community Services Department programs/services as required.
Preparation and coordination of User Group contracts, third party rental agreements, third party use agreements, and other user agreements as required. Updating the agreements when required to meet the going needs of the user groups or the CMRC.
All aspects of facility bookings; rental, contracts, insurance, invoicing/collection, internal staff coordination and communication, pre and post event follow-up with clients, compliance with bylaws and City permits for Gibraltar Room, Twin Arenas, West Fraser Aquatic Centre, and any other spaces in/around the Cariboo Memorial Recreation Complex. Dressing room coordination and assignments are included in Twin Arena booking allocations.
All aspects of park bookings; rental, contracts, insurance, invoicing/collection, internal/external staff coordination and communication, pre and post event follow-up with client.
Booking street banners and displays at various recreation sites or related locations that are City owned or managed.
Coordination and distribution of daily, weekly, monthly, and annual facility and event schedules for internal staff and other required departments.
Assist the Director of Community Services with the coordination of annual Ice user allocation meetings, or other annual allocation meetings.
Communication of policy, procedure, and program information related to facility allocations to user groups and relevant stakeholders.
Updating lobby Visual Sport Image screens information daily.
Coordination and invoicing of all recreation facility advertising.
Shall perform other related duties as required.
REQUIRED QUALIFICATIONS, SKILLS & EXPERIENCE:
Minimum Grade 12 or equivalent.
Computer and Word Processing experience with Microsoft Office Programs including Publisher, Excel, Word.
Ability to work effectively and efficiently with minimum supervision.
Thorough knowledge of office and cash procedures.
Proven ability to deal with the public in a courteous, tactful, and professional manner including a proven ability to provide exceptional customer service.
Initiative and desire to undertake additional training to upgrade skills and abilities.
2 years previous clerical and administrative experience, preferably in a recreation setting.
2 years Financial Services / Accounting experience.
Strong verbal and written communication skills
Experience with Xplor Recreation software, particularly within booking functions.
