REPORTS TO:
Director of Public Works
POSITION PURPOSE:
Perform administrative and technical duties as needed to support the Public Works, Codes and Finance Departments
EDUCATION LEVEL:
High School Graduate
SALARY RANGE:
$44,000 - $52,000 based on experience
KNOWLEDGE AND EXPERIENCE:
Possess a basic working understanding of grammatically correct written and verbal communication
Experience in providing excellent customer service and support in person, by phone and in written correspondence
General knowledge of computer system operations including and at least an intermediate level of Microsoft Office, Outlook, Word, Excel, and Power Point, Social Media and Website Posting
General knowledge of municipal government activities
General knowledge of GIS is preferred

PRIMARY RESPONSIBILITIES:
General Duties include;
Answer phone calls, emails and greet people coming to the counter, providing first point of contact services as needed and direct issue or people to the appropriate staff person,
Address mail as directed and direct to appropriate staff person,
Assist with taking payments that come in the mail or come to the counter,
Scan documents/plans and electronically file in the appropriate location,
Perform routine filing and data maintenance within established computer software system and hard copy property file system,
Assist with writing or pulling together information for grants,
Update Social Media and Website as directed,
Other duties as assigned
Responsible for Township Meetings as assigned including but not limited to:
Assisting with preparing and posting the agenda,
Preparing and posting the meeting minutes,
Assisting in the preparation, execution, and retention of official documents,
Collecting of documents needed for meetings,
Advertising, recording and posting of meetings
Assist the Public Works Department with a variety of clerical needs including but not limited to:
Creation and filing periodic reports, to the Board of Supervisors or other organizations/governmental agencies,
Tracking service request/complaints and following-up with the submitter communicating responses or outcomes,
Keep track of records for a variety of projects/services throughout the Township, examples include: recycling schedule, recycle carts, leaf collection pick-up, yard waste collection etc.,
Create requisition as directed
Assist the Codes Department with a variety of clerical needs including but not limited to:
Perform data entry related activities as needed to enter and maintain permits,
Administrate the special events permit according to Township policy,
Assist with maintaining the Township property files
Assist the Finance Department with a variety of clerical needs including but not limited to:
Responsible for tracking expenses charged to Escrows, billing for replenishment and notifying the property owner or developer of any charges against the escrow on a monthly basis,
Creation of invoice/billing for periodic miscellaneous accounts (Accounts Receivable),
Assist other departments as directed by the immediate supervisor.
SCHEDULE: Monday through Friday, 8:15 a.m. to 4:45 p.m.
