The Porter County Elections & Registration Division is a team that collaborates with the Clerk of the Circuit and Superior Courts to plan, oversee, and administer elections and voter registration. The Deputies help manage the administrative needs of the Director, including managing correspondence (e.g., taking phone calls, responding to e-mails, and interfacing with walk-in visitors), calendaring, scheduling and executing meetings, and maintaining workflow and productivity. The team ensures that Porter County’s Elections are conducted in an accurate, efficient, and transparent manner that leaves Porter County voters with the utmost confidence in the election process.
REQUIREMENTS
Residency and Availability:
Resident of Porter County
Minimum of 18 years of age
Registered Voter in Porter County
Valid driver’s license and independent transportation
Must be able to work weekends and extended hours
Must have a cell phone available for making and receiving calls and text messages
Must have voting history to establish political party affiliation for position
Minimum Education:
Minimum of a High school diploma or equivalent
Technology Skills:
Proficient in Computer Software packages and applications: Word, Excel, Outlook, Google Drive, Facebook and other social media platforms
Operate and utilize general office related equipment, scanners, printers, photocopiers, fax machines, envelope slicers, paper folders, and other office-related equipment
Interpersonal Skills:
Ability to deal with stressful situations and events in a professional, calm, and thoughtful manner
Assist the public through the use of the telephone, in person, electronic mail, and written correspondence in a professional, friendly, and courteous manner
Ability to work accurately and meet deadlines with frequent interruptions:
Ability to work in a flexible manner, one that allows for changes in assignments and priorities depending upon the timing of the election cycle
Strong organizational, time management, customer service, and problem-solving skills
Ability to work well independently as well as part of a team
Experience:
Knowledgeable in qualifications and requirements to register to vote, as well as filing for candidacy
Understand, interpret and explain voter registration and election procedures to the public.
Accurately and uniformly respond to routine questions, complaints, or requests for service
Perform general office, data entry, and clerical duties including preparing forms, reports, correspondence, and other documents; drafting memos and faxes; updating databases and spreadsheets; reviewing and editing data for accuracy and completeness; generating reports
Skills in:

As a
Porter County Elections & Registration
Division Staff Member, you may perform a variety of duties such as, but not limited to
:
Sort and file voter registration documents in compliance with mandated standards.
Receive and accept the filing of forms, reports, correspondence, and other election-related documents, including candidate filings, campaign reports, voter registration forms, absentee documents, petitions, correspondence, and resolutions
Verify, sort and file absentee documents and ballots in compliance with mandated standards and office procedures.
Complete a variety of election-related duties within designated timeframes
Prepares election supplies for distribution, unpacking election supplies, sorting ballots, preparing for mass mailings, transmitting election data, scanning and processing printed Election Day materials, assembling precinct manuals and books, and in the operation of precinct and polling locations
Compile, maintain and file voter registration documents, materials and logs; update and maintain manuals, indexes, voter registrations and inventory control files; process vote by mail voter requests; enter new voter registration cards; change, cancel or remove records; return incomplete voter registration cards.
Provide support to election processes and procedures; recruit, train and direct work of precinct poll workers; assist precinct poll workers with class scheduling, trouble shooting, payroll; visit prospective polling places to determine desirability of locations and compliance with ADA requirements; organize and direct the work of temporary staff in assembling and distributing precinct materials and supplies; update training materials.
Assist in contacting and scheduling of the travel board to assisted living, homes, and other facilities; set up of travel board supplies and ballots; work one on work with travel board on verification and checking in of ballots.
Supervise prompt delivery of ballot containers; assure adequacy and proper operations of voting equipment; make emergency pick-up or delivery of voting supplies.
Help to organize election night procedures and facilities.
Submit documents or reports to other agencies; create and maintain records for reporting to the state and federal government; sort, mail out and process out-of-county notices to appropriate counties; enter data and generate reports
Other Factors include but are not limited to:
Ability to handle
multiple
responsibilities at once. Individuals will be cross-trained in both voter registration and election procedures.
Election Division & Registration employees will be limited in the amount of time off one may be approved for during the time that absentee voting has started until the election has been declared official and any recount or post-election audit has been completed. This may or may not apply to all elections held in a calendar year.
Ability to work overtime will be required during certain periods of the year.
Must not be a current elected official, candidate running for office or a member of a candidate’s committee
