   Advanced and difficult clerical work in the Public Water Utility Department. Work is performed under the direct supervision of the Water Services Manager.
   ESSENTIAL JOB FUNCTIONS:
   1.    Performs duties of a staff assistant nature. Secures details of specialized information, coordinating office work and providing information regarding the services and operation of the unit.
   2.    Keeps appointment calendars and schedules appointments. Receives and screens calls and refers callers to other departments. Takes notes and minutes of conferences, meetings, and functions as required.
   3.    Prepares forms and composes letters. Sets up and maintains specialized office files. Files letters, reports, and related technical information in the prescribed manner. Assembles information for others' use. Opens, prioritizes, and processes mail.
   4.    Types using PC-based word processing software and processes letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders, and related paperwork. Types information or enters data into a computer containing technical terminology. Retrieves data for reports.
   5.    Performs research and retrieval of records. Conducts statistical comparisons of information. Assists in the preparation and maintenance of department records. Maintains office supplies.
   6.    Receives and answers or redirects customer complaints to the proper person, logs calls & complaints.
   7.    Assists in budget preparation and monitoring; prepare payroll.
   8.    Performs management functions for special projects, maintains contract records, and payable processing.
   9.    Handles month reporting to D.E.P. and all state regulatory offices.
   10.    Inventory Management
   11.    Manages Work Order System

   MINIMUM QUALIFICATIONS:
       KNOWLEDGE, SKILLS, AND ABILITIES:
   1.    Knowledge of business English, spelling, and punctuation, to prepare documents and compose memos, letters, and e-mails
   2.    Knowledge of office practices and procedures.
   3.    Knowledge of mathematics.
   4.    Knowledge of the Department and City’s policies, procedures, and practices.
   5.    Ability to establish and maintain effective working relationships with employees and the public.
   6.    Ability to access, input, and retrieves information from various computer programs, including Microsoft Office Suite
   7.    Ability to communicate using speaking, hearing, and visual skills.
   EDUCATION AND EXPERIENCE:
   1.    High School graduation or possession of an acceptable equivalency diploma.
   2.    Two (2) years of work experience involving clerical duties including the operation of a personal computer, keyboard, mouse, or similar data entry equipment.
   ESSENTIAL PHYSICAL SKILLS
   •    Acceptable eyesight (with or without correction)
   •    Acceptable hearing (with or without hearing aids)
   •    Ability to access, input, and retrieve information from a computer
   •    Ability to access file cabinets for filing and retrieval of data
   •    Ability to sit at a desk and view a display screen for extended periods
   •    Ability to communicate both orally and in writing
   •    Bi-lingual skills are a plus
