The Village of Niles is seeking a candidate for the full-time position of Records Clerk in the Police Department. The Records Clerk reports to the Records Supervisor. This position consists of quality control functions related to coding and data entry of officers’ reports, including but not limited to incident reports, motor vehicle accident reports, and arrest reports. This position is responsible for computer entry of Village ordinance/parking tickets, routing payments for tabulations, and posting, as well as mailing motor vehicle accident reports to various agencies as required.
In exchange for outstanding skills, the Village of Niles is offering a starting salary is $49,906.91. This is an AFSCME Council 31/Local 2953 position in the 7A-7KK range.
Essential Job Functions Include
Data entry and quality control of officer reports, tickets, payments and postings;
Prepare court case envelopes on all arrests, filing them with all the compiled related documents;
Perform routine data entry and verification operations rapidly and accurately;
Assist in handling complaints, inquiries, and correspondence regarding P-ticket complaints assuring that citizens are dealt with fairly;
Check all reports, complaints, and court dates for accuracy and distribute to all various agencies as required;
File various documents numerically and alphabetically as required;
Ensure for proper filing of all criminal case files;
Work closely with Court Liaison and the Village computer court files to ensure a complete court case report for any and all court dates;
Prepare files and records as directed by the Records Supervisor for use by States Attorney or under lawful subpoena;
Ensure protection and confidentiality of official reports as required for prosecution purposes;
Operate computerized programs that initiate late payment notices at the required times;
Train and instruct other personnel in the UCR, Village computer systems and coding procedures;
Prepare statistical reports;
Maintain and record Village of Niles citations, dispositions, and fines paid;
Other duties as assigned.
Qualifications and Conditions
High school diploma or equivalent required.
One (1) year of clerical experience or
any combination of education and experience.
Hours are 8:00 a.m. - 4:30 p.m., Monday through Friday.
