Position Summary
This individual is the first person visitors see when entering Brentwood City Hall. The Customer Service Clerk greets visitors in a professional and friendly manner, answers any questions that visitors may have, and notifies appropriate staff of visitors’ arrival. The Customer Service Clerk also serves as the main phone receptionist for the City of Brentwood. Under direction, provides administrative support for the Administration Department, including but not limited to City Administrator, Communications, Finance and Human Resources. The overall goal is to provide an excellent customer service experience to all who contact, visit and interact with the City of Brentwood.

Hours: Full-time 40 hour per week position
Principal Duties and Responsibilities
The position’s duties, responsibilities and expectations are not necessarily limited to the following and are not enumerated in any particular order or priority. At any particular time, the frequency or duration with which one or more of the following specific duties is performed may vary widely.
Provides excellent customer service to City customers/guests/visitors and staff in person and by phone
Acquires and maintains adequate knowledge of all City departments to assist callers and visitors in an expedient, courteous and professional manner; often handles complaints and concerns without assistance from others
Provides administrative support to the Administration Department
Enters applicable service requests into the City-wide request/issue-tracking system
Assists with updates to departmental materials
Performs other job-related duties as assigned
Knowledge Skills and Abilities
Pleasant, courteous and professional demeanor
Excellent typing, grammar and spelling skills
Strong attention to detail
Knowledge of City operations, rules and regulations required within six months of date of hire
Knowledge of computers and standard office equipment and practices
Proficient in Microsoft Office suite of applications
Ability to manage several tasks concurrently, moving quickly from one task to another
Ability to work under general supervision and proceed alone on regular duties
Ability to manage phone system operation and a quantity of incoming calls
Ability to perform a variety of administrative duties
Ability to read and comprehend instructions, correspondence and memos
Ability to write complex and technical correspondence
Ability to effectively present information one-on-one to the general public and to fellow employees
Ability to perform effectively with multiple interruptions and distractions without losing focus on providing exceptional customer service
Ability to respond diplomatically and tactfully to irate or upset customers and visitors
Minimum Requirements – Education, Certification, and Experience
High school graduate or GED equivalent
Minimum of three years administrative support experience with emphasis in customer service
Additional experience may be substituted for education beyond high school level
Preferred Qualifications – Education, Certification, and Experience
Associate Degree
