JOB TITLE
: Administrative Assistant – Juvenile Services Center
STATUS:
Full Time (Monday – Friday; 8:30 – 4:30 PM)
SALARY:
$35,000 - $39,000
Serves as Administrative Assistant for the Juvenile Services Center, assigned to the Juvenile Detention Center, responsible for supervising office and other support services, including managing office caseload, budgets, and billing. Provides support to the administrative staff.
DUTIES:
Answer telephone for service.
Distribute incoming mail and receipt in all payments received.
Attends staff meetings and workshops/training seminars as requested or required by facility and/or state rules and regulations. Prepares and distributes minutes from various meetings as directed.
Assists Administration with assuring the standard operating procedures for the system are updated and distributed on a regular basis.
Checks and stocks supply inventory for the system. Orders supplies, as identified.
Monitors balances of all office accounts. Pay all bills.
Ensures fingerprint cards are collected and distributed pursuant to procedure.
Monitors and tracks system contracts. Updates and distributes contracts pursuant to deadlines.
Prepares the accurate and timely billing for contract charges, medical/dental expenses, room damage and meal reimbursements, personnel reimbursements, distributing to appropriate individuals, and recording receipt of payments.
Maintains employment applications/resumes for the juvenile justice system. Sets up interview times as directed. Prepares letters to follow up to interview or notice of application status.
Tracks report deadlines including, but not limited to DOE, DOC, State, Grants.
Checks for new resident intakes on a daily basis and ensures warrants are recalled.
Serve as coverage to the Probation Department Office Manager in his/her absence/unavailability, as directed.
May perform duties of other facility personnel as determined by staffing needs and training, and as directed.
JOB REQUIREMENTS:
High school diploma or GED, with advanced education and training in business management and/or related work experience.
Working knowledge of standard bookkeeping and budgeting principles and procedures.
Must be at least 21 years of age and a resident of Porter County.
Possession of valid Indiana driver’s license and demonstrated safe driving record.
Ability to submit to and pass a criminal background check, Indiana sex offender registry check, national sex offender registry check, and Department of Child Services check.
